7 Questions to Ask Before Hiring a Commercial Hygiene Provider in Maryland

An office in Silver Spring, a restaurant in Annapolis and a school in Waldorf all need the same thing from a restroom supply partner: stocked dispensers, working equipment and someone who answers. These seven questions show you who can deliver that in Maryland.

Most hygiene providers sound alike on the first call. The differences show up months later: in the delivery that doesn't come, the broken dispenser nobody fixes, or the inspection you scramble to get ready for. Asking the right questions up front saves you that trouble.

Here's what to ask, and what a good answer sounds like.

1. Do you serve my county, on a fixed schedule?

Maryland is a big service area, and "we cover Maryland" can mean anything from weekly routes to a truck that comes by when it's in the neighborhood. Ask which counties they run regular routes in, how often they'd visit you, and whether your delivery day is fixed.

A good answer: a named delivery day and frequency that fits your traffic, and a route that already runs near you. Loyal runs fixed routes across Montgomery, Prince George's, Howard, Anne Arundel, Calvert, Charles and St. Mary's Counties and Baltimore.

2. Who installs and repairs the dispensers?

Dispensers are where most restroom problems start: a jammed towel roll, a soap pump that stops pumping, a cracked cover. Ask who owns them, who installs them and who fixes them, and whether any of that costs extra.

A good answer: dispensers installed at no charge and repaired or replaced for as long as you're a customer. Better still, route reps who carry parts and fix most problems on the spot.

3. Can you help keep a food business inspection-ready?

Maryland restaurants and other food businesses follow the state's food-service rules (COMAR 10.15.03), and local health departments inspect them. Several of those rules come down to supplies: toilet tissue at every toilet at all times, covered waste receptacles in women's toilet rooms, and soap plus towels or an effective hand dryer at the handwashing facilities next to every toilet room.

A good answer: a provider who knows those requirements and sets your delivery schedule so you never fall short of them. Our Maryland restroom compliance guide lists them all, with the section numbers.

4. Will the dispensers meet accessibility requirements?

Maryland's accessibility code requires the 2010 ADA Standards, and unlike the federal ADA, it also applies to buildings used by religious organizations and private clubs when they're built or altered. Dispensers count: they need to work with one hand and no more than 5 pounds of force, and sit within reach, between 15 and 48 inches above the floor for an unobstructed reach and lower over a counter.

A good answer: "We mount to those heights, and we'll check your existing dispensers while we're there."

5. What happens if we run out between deliveries?

Even a good schedule can't predict a packed weekend, a busy event or a plumbing problem. Ask what happens when you need something before your next delivery.

A good answer: trucks that carry extra inventory, and a same-day response for emergencies.

6. Who picks up the phone?

Call the provider's main number before you sign. Do you get a real person, or a phone tree? And after you sign, will the same people visit your facility every time?

A good answer: a local person who answers, day or night, and the same route reps on every visit, people who know your building and what you use.

7. How is pricing structured?

Ask for a written quote that shows every charge: products, service, delivery and anything else that could appear on an invoice. Ask whether prices change with your actual usage, and what happens if you want to adjust your order.

A good answer: clear pricing tied to what you actually use, with maintenance included and no surprise fees. For more on what to expect, read how much commercial restroom service costs.
